One email session, followed by a protected work block
Process
Review incoming mail at your chosen time.
Record
Save actions, commitments, and revisit dates.
Hide and work
Hide the list and complete the planned task.
Return
Review again at the next agreed window.
Start with a schedule your work can tolerate
There is no universally correct number of email sessions. A client-support shift and an afternoon of writing have different constraints. Choose review windows that match the response expectations you have actually agreed to.
For an experiment, pick one protected work block and tell relevant people how to reach you for something urgent. Review the inbox before or after the block. Judge the result by whether the work gets done and commitments are met.
Separate processing from using Gmail
- Process deliberately. During the review window, decide what needs action, a reply, delegation, or reference storage.
- Record the next step. Use a task, a waiting-for item, or a deliberate reminder.
- Hide the inbox. Keep Gmail available for searches and outbound mail without scanning new requests.
- Return at the next review point. Change the schedule if the real work requires it.
The boundary is between jobs, not between “disciplined people” and everyone else.
Handle the two kinds of exception
- Something genuinely urgent: agree on a separate contact channel or suitable monitoring arrangement. Hiding the inbox does not block mail or silence notifications.
- Something relevant later: defer the conversation and preserve the next action in a note. An estimate does not need to stay visible all morning because you need it after lunch.
Choose a boundary you can trust
OpenRang’s manual Hide Inbox control gives you a quieter view. It does not enforce a schedule or stop you revealing the inbox. If that is too easy to undo, compare scheduled lockout options.
For actual diversion of incoming mail, read hiding versus pausing. Those are different mechanisms with different consequences.
At the end of the experiment, ask whether you completed the protected task, whether anything important was missed, and which boundary needs adjusting. No invented hours-saved calculation required.
