Start with decisions, not twenty new labels
The GTD method describes five stages: capture, clarify, organize, reflect, and engage. This is an independent email setup, not an official GTD course or an endorsed product.
- Action: you have defined the work you owe.
- Waiting For: somebody else owns the next outcome.
- Reference: keep the information with no action attached.
Keep projects and non-email commitments in a trusted system that can represent them properly.
Process a conversation once you open it
- Name the outcome. What changes when this is done?
- Name the next action. “Review the three pricing assumptions” is clearer than “Bill email.”
- Choose an owner. Is the next step yours or somebody else’s?
- Choose a place. Record the action or waiting-for item. Archive reference you can retrieve.
- Choose a revisit point where useful. Defer a conversation to an appropriate time rather than leaving it permanently visible.
Use Rangs as an email tickler, not your whole task manager
A tickler brings something back when it becomes relevant. A travel document needed before a trip or a request you intend to revisit next week fits that pattern. Choose a Rang time and add a note identifying the action.
For a date that must alert you while Chrome is closed, use a suitable calendar or task system. The current extension requires Chrome online. Do not turn every task into a snoozed email just because the button is convenient.
The waiting-for guide explains how to keep track of delegated outcomes without relying on memory.
Give the system a weekly review
- Action: is the work still real and the next step clear?
- Waiting For: did the answer arrive, change owner, or become overdue?
- Upcoming reminders: do the dates still make sense?
- Projects: has one email grown into several steps that need their own plan?
Then choose work deliberately. Hide the inbox while executing an action so the newest request does not automatically become the most important one.
